Why a Clean Desktop is Good for Your Mental RAM

This post was sparked by a friend’s recent question on Facebook. She asked, “Anyone else have NOTHING saved to their start menu and NOTHING on their desktop?” Turns out, she’s the lone digital minimalist in her office. Everyone else? Desktop icons galore, random files everywhere, and not a clue about proper directory structure.

It got me thinking — I’ve lived that clean-desktop life for nearly two decades. Even back in my state government (19) years, I kept things tidy. It puzzled my colleagues, but for me, it was all about function and peace of mind.

Because I was the ‘office records management‘ guy for 150 people, it made sense to me that I keep an immaculate work environment. I learnt that keeping your digital workspace clean isn’t just about appearances. It’s about staying efficient, preventing data loss, and keeping your sanity intact.

Here are a Few DO’s & DON’Ts to Keep your Files (and Your Brain) Better Organised:

✅ DO: Use a Proper Folder System

Create folders with simple, clear names like:

  • Mow&Wash – Finance – Invoices
    Ideal for small businesses who control their marketing, sales, invoices, advertising, etc. Keep things easily located so Tax time becomes a breeze.
  • Photographs – 2025 – July – 06′
    This way you can easily find a particular year, month and date within your photographs.
  • Website – ezCREATE – Images’
    This is ideal if you have multiple web site designs happening. It’s also ideal when using FTP or a Portal to upload your data, as your directories will mirror the server you are uploading it all onto!

File things properly from the get-go. A good structure means less hunting later.

❌ DON’T: Save Files to your Desktop

Sure, it’s convenient – yet it’s also risky. Desktop files often aren’t backed up on offsite servers. One crash, and ‘kaboom’ – your work’s gone. Use cloud storage or a network drive instead.

✅ DO: Back-Up your data Regularly

Automated cloud backups or weekly external saves — either way, make it routine. Think of it as insurance for your ideas. At the very least, save to an external hard-drive to which you have easy reliable access.

❌ DON’T: Name Everything “Final”

Be specific. Try Project_KangarooIslandBridge_Proposal_July2025_v13.pdf. It’ll save you from opening twelve “final” versions next time. And nothing really is final when there is a client involved.
Wait, they want to add spiral columns to the bridge?!

✅ DO: Clean your Downloads Folder

Every Friday arvo, take ten minutes to file or delete what’s in there. It’s digital housekeeping — a quick tidy to start fresh next week.
EXTRA: Clear your DELETED Bin regularly. Even though you have deleted it, it’s still in your computer.

Plus – let’s be real — it’s not 1998 anymore. We’re not stuck with filenames like doc1.txt and praying it works on someone else’s computer. Back then, ‘forward compatibility’ meant hoping your file opened on Windows XP. Today, we’ve got cloud drives, full-length filenames, and storage to burn — yet folks still treat their computers like they’re juggling floppy disks.

So do yourself a favour — Clean your Digital Desk.
Your brain and backup drive will thank you.
